Mungap — User guide (English, draft)
Mungap runs on your own PC. It reads documents you receive, sorts them by type, pulls out the partner, dates and amounts, reminds you what is about to expire, and copies them into tidy folders — without changing the originals. Its data (what it read from your documents, settings, corrections) is kept in one encrypted file on this PC. The words and pictures in your documents never leave the PC; what Mungap does send over the internet is listed under What Mungap sends over the internet below (usage numbers, a new-version check, and problem reports you send yourself). Attachments Mungap takes out of emails are kept encrypted in the mail folder of its data folder, with the same level of protection as the rest of the data; while you view one, a temporary unencrypted copy exists (see Importing documents).
This guide covers the English experience and the Inbox side of the app (receiving, reading, organizing, searching documents). Mungap also has a Korean-specific certificate-issuing side (employee roster, templates, issue log, labels); it works on Korean HWPX templates and is not described here.
Requirements
- Windows 10 (1903 or later) or 11, x64 PC. macOS 11 or later, Apple Silicon or Intel.
- Mungap opens one window at a time; starting it again brings the open window to the front.
Getting started
Open Mungap and choose Get started. There is no password to set. Mungap's data is encrypted, but the key file (
seorap.key) sits in the same folder, so anyone who can see Mungap's data folder on this PC can open the data. If you share the PC, turn on an App password in Settings (below). On Windows the data folder is "문갑 데이터" ("Mungap data") directly in your user folder (C:\Users\<your name>); Settings → About this app shows the exact path. It stays when you uninstall Mungap and opens again after reinstalling, so don't delete or move it (to move to another PC, use Encrypted backup below). On the first screen you can pick the Language (English / 한국어) and the Document rules to read:
- US documents — W-9, certificates of insurance, invoices, contracts and more (English documents).
- Korean documents — Korean business papers.
- Korean and US documents — one store that reads both.
You can change both later under Settings → Language and document rules. Turning off the Korean rules hides the AI credits menu. The AI credits and License menus are not available yet in this version: they are shown but can't be opened ("Coming in a later version").
The Home screen shows an Import card, how many documents are Not organized yet, Organized and in All (choose one to open that list in the Inbox), and the most recent documents. If you have no documents yet, use Try with sample documents.
It's worth making an encrypted backup early (Settings → Encrypted backup). See Backups below. As the first screen says, Mungap sends usage statistics (numbers only) once a day. See What Mungap sends over the internet to turn this off.
Light or dark: Mungap follows your system's light/dark setting at first. Dark mode at the bottom of the menu switches between light and dark, and Settings → General → Theme lets you choose Use system setting, Light or Dark. The choice is remembered on this PC.
Screen explanations: each screen starts with a short card — a small picture (it moves the first time you open that screen) and two or three lines on what the screen is for. Choose Hide this explanation once you've read it; Settings → General → Show screen explanations again brings all of them back.
Importing documents
- On Home or Inbox, pick files or a folder — or drag them onto the window — then choose Import. Before anything is imported, Mungap shows a rough estimate of how long reading will take (for example "12 files · about 2–9 minutes (estimate) · reading uses a lot of your computer's power"); it depends a lot on your PC and on whether the documents are scans. A folder imports everything inside it, including subfolders. Identical files are imported once. Originals are never moved or changed.
- Formats: PDF, images (JPG, PNG, TIFF), Excel/CSV, Word, PowerPoint, Hangul, and emails (.eml, .msg).
- Email: the attachments become documents (PDF, pictures, Office files). The email file itself isn't a document and stays where it is. Small logo images and pictures embedded in the message body are skipped. Attachments are kept encrypted in the
mailfolder of Mungap's data folder, with the same level of protection as the rest of the data — without an app password, anyone who can see the data folder (includingseorap.key) can open them. While Mungap reads or shows an attachment, or you open it, a temporary unencrypted copy is placed inmail/open; it is deleted when you lock Mungap or quit it (and the next time it starts, if it was closed abruptly; if documents are being read at that moment, after reading finishes). Files you copy out with Organize are ordinary files in the folder you chose. Mungap doesn't delete the stored copies automatically; their names are not readable, so please don't remove them by hand (the document could no longer be viewed). - Excel/Word/PowerPoint/Hangul files are read for their text directly; one file is one document. PDFs that contain several documents are split automatically — fix a wrong split from the document's detail window (Split / Merge, PDF only).
- Scanned pages and photos are read with the built-in text-reading model; quality depends on the scan.
- TIFF (scanners and fax-to-email): every page of a multi-page TIFF is read, and one TIFF file counts as one document. Black-and-white fax compression (G4, and one-dimensional G3) is supported; palette-color TIFFs, two-dimensional G3 fax and the old "Modified Huffman" compression are not — Mungap says so and you can re-save the file as grayscale/color or as a PDF.
- iPhone photos (HEIC) can't be read. Save or export them as JPEG, then import them.
- Email: the attachments become documents (PDF, pictures, Office files). The email file itself isn't a document and stays where it is. Small logo images and pictures embedded in the message body are skipped. Attachments are kept encrypted in the
- Automatic import: under Settings → Automatic import choose a folder (for example the folder your scanner saves to). While Mungap is open, new documents appearing there are imported and read automatically about every 30 seconds. Files still being written are picked up on the next check. Email files in that folder are not watched.
- Files that can't be read (password-protected, DRM, old .doc/.ppt) are listed with the reason — remove the protection or save in a newer format, then import again.
- Reading a file again after an update: a newer version of Mungap may read text better, but documents that were already read aren't read again on their own. Open a document and choose Read this file again to read that file again from the start, then split and sort it anew (if the file holds several documents, all of them change). Files with documents you corrected (including documents confirmed in earlier versions) aren't read again — that would erase your corrections. If you edited the original file after importing it, it isn't read again; import the edited file instead.
- If you moved an original, or restored on another computer: Mungap reads originals where they are and only remembers their location. If an original is moved or deleted, its detail window says "This document's original file can't be found" and shows where it was (for example Desktop › Vendors › contract.pdf). What was read and the classification are kept. To reconnect it, either:
- Import the moved file again — a file with the same content is reconnected to the existing document instead of becoming a new one (the import result says how many originals were found again). If the original is still where it was, it counts as an identical file as before.
- Choose Find the original there and pick a folder it may be in (Desktop, Documents, a USB drive). Mungap looks inside it, including subfolders, for files with the same content — even renamed ones — and reconnects every document whose original was missing. It doesn't move or change any file.
- Copies made by Organize are never used as originals (undoing the organize run deletes them). For email attachments, import the email file again.
What Mungap reads
For each document, Mungap suggests:
- the type — Estimate, Purchase Order, Invoice, Packing Slip, W-9, Photo ID (driver's license, state ID or passport), Voided Check, Receipt, Certificate of Insurance, Business License, Contract (or Unclassified). The words Mungap looks for in each built-in type are listed, read-only, under Document type;
- the partner (the other party — your own company, entered in Company info, is excluded), the document date, the document number (invoice / PO / estimate / receipt / certificate / packing slip number), the amount (USD), and the expiry date.
- Invoice: the payment due date goes in the expiry field (from "Due Date", or from terms like "Net 30").
- Certificate of Insurance: the earliest policy expiration.
- Contract: the end of the term; Estimate: the end of its validity; Business License: the expiration date.
- Social Security numbers, driver's license numbers and passport numbers are never stored in any field. W-9s, Photo IDs and documents that look like they contain a Social Security number are never sent to the AI service.
Mungap uses what it read as is — you don't have to check each document. The Inbox list has three tabs: Not organized, Organized and All (by whether a document has been organized into folders yet). Documents whose type Mungap isn't sure about are marked Low confidence, and ones it couldn't recognize Unclassified — those are the ones worth a look. Fix a wrong type right in the list's Type column; fix other values by opening the document and choosing Save values. Corrected documents are marked Corrected, and corrections are used the next time documents are classified. A new document type (for example Power of attorney) can be created from a document with Create as a new document type.
To sort documents more precisely, open More rules (optional) under Document type (for types you created): give each word an importance (weak, normal, strong) and choose whether it counts fully only in the title position; add words that rule this type out (for example Estimate for a purchase-order type), words that must all be present to be confident, words in the file name (for example PO_) and partner names. A file-name or partner match on its own gives Low confidence at most. Before saving, Count affected documents shows how many current documents would become this type and how many would leave it (documents you corrected never change). Edit rules on a type card changes its rules and name; renaming also renames the type on the documents that had it. Built-in types only take extra words and words that rule them out. Renaming and deleting are unavailable while documents are being read.
Retention (display only)
Under Document type you can set a retention period in years per type. Mungap then shows "Keep until …" in the document detail and lists documents past their retention period at the bottom of the Organize screen. Mungap doesn't delete files (apart from the sample documents you remove yourself), and it contains no legal retention periods — you set them.
Organizing into folders
Organize copies the documents Mungap has read into folders such as Type/Partner, naming each file like Date_Type_Partner. You can change the rules; available words are {type}, {partner}, {date}, {expires}, {original}.
- In the Inbox list, tick Select all at the top of the list to pick every document in the current tab (including ones not drawn on screen yet), or pick a few, then choose Organize N selected. Mungap shows the plan for just those documents right away; look it over and choose Organize as shown. Switch to all documents widens it to every document; opening Organize from the menu and choosing Show how it will be organized also covers all documents.
- Documents whose type wasn't recognized go to an Unclassified folder. Sample documents can't be selected and are never copied.
- Documents already organized into the same folder are skipped ("Skipping N documents already organized into this folder").
- If you corrected a document's type or partner after organizing it, select it and organize again. The plan marks it Move and shows where it is now; Organize as shown moves the copy made earlier to the new folder (nothing is copied again, and the original stays untouched). Changing the organizing rules (folder or name) moves already organized documents to the new place too. Copies you edited yourself afterwards are left where they are.
- Undoing a run that moved copies puts them back where they were.
- It shows a plan first, copies only (originals stay), and every run can be undone (only the copies are removed; files you edited afterwards are kept). A folder that syncs to a cloud service (OneDrive, Dropbox…) is flagged — organized copies could be uploaded.
Search and export
- Search finds documents by words inside them, partner, type, document number or date range. English words are matched as whole words (prefix match).
- Export list as CSV (Inbox) writes one row per document: file name, type, partner, document no., date, expires/due, amount, currency, business/tax ID, review status, confidence, pages and file location. Personal names and page text are not included, sample documents are skipped, and an existing file is never overwritten. Open it in Excel or hand it to your accountant.
App password (optional)
Settings → App password: choose a password (8+ characters) twice and turn it on. Mungap then asks for it at start, shows Lock in the menu and locks itself when idle (default 10 minutes). If you forget the password it can't be recovered — make an encrypted backup first. Turning it on, off or changing it re-encrypts the whole data file.
Backups
- Make a backup: Settings → Encrypted backup. Choose What to back up, enter a backup password twice (8+ characters, separate from the app password) and choose Create a backup. If you forget the backup password, nobody can open that backup — keep the backup and the password apart. Mungap does not back up on its own; make one now and then, especially after importing many documents.
- Everything, including the original documents — backup folder (recommended): creates a "Mungap Backup" folder inside the folder you choose (a USB or external drive is best) and stores Mungap's data plus the files Mungap has worked with — imported originals, email attachments, organized copies, issued documents, files loaded into the roster, label and envelope PDFs and exported CSV lists. The same content is stored once; choosing the same folder again adds only what is new or changed. After you pick the folder, Mungap shows how much it will add. Each backup adds a point in time you can choose when restoring. Email files, roster files, label PDFs and CSV lists are included only from this version on (that's when Mungap started noting where they are).
- One backup folder uses one password. To change it, start a new backup folder elsewhere.
- Anyone with the backup folder can see how many files it holds, their sizes and when backups were made, but not their contents without the password.
- Files that couldn't be stored (moved, deleted or unreadable originals) are counted and the rest is backed up. Files over 4 GB can't be stored on a FAT32 USB drive.
- Stop backup discards that point in time (files already stored are reused next time).
- Records only — one file: the older one-file backup with your settings and everything read from documents, but no files (no originals, no issued documents, no email attachments).
- Restore: from Settings (Restore from a backup), from the lock screen (Forgot the password?), or from the first screen (Start by restoring a backup) on a new PC. For a backup folder, choose the "Open Mungap backup" file inside it; you can pick Backup to restore (the latest by default). Mungap shows a summary first and keeps your current data (it isn't deleted) so you can go back.
- Restoring from a backup folder brings back the stored files too. If the same file is still where it was on this PC, Mungap keeps using it; otherwise it unpacks the file into its data folder (the "restored" folder), and page pictures and Open original file use that copy. The result shows how many files were restored and how many couldn't be found.
- A one-file backup does not contain the original files — on another PC, use Find the original (above) to reconnect them. The AI login is never in a backup.
What Mungap sends over the internet
Mungap never sends the words or pictures in your documents. It sends only the three things below, all listed in Settings → What Mungap sends over the internet.
- Usage statistics (numbers only) — on from the start. Once a day while Mungap is open it sends the numbers for the previous days (for example how many files were imported, pages read, searches made) with the Mungap version, computer type, screen language and a random number chosen at install. No file names, locations, document contents, partners, company names or amounts. What was last sent is shown there, and turning off Send usage statistics also deletes numbers not yet sent and stops counting.
- New-version check — once a day Mungap downloads a small file that says whether a new version exists (it sends nothing about itself). Turn off Check for updates automatically to stop it.
- Send a problem — only when you choose to (below).
- Mungap's servers don't store your computer's internet (IP) address; the company that runs them (Cloudflare) receives the connection and can see it. Details are in the privacy policy on the website (linked from the same card).
Installing a new version
- Once a day Mungap checks for a new version and, if there is one, says so at the top of the window. It never installs on its own. In Settings → Updates, choose Install new version to download, install and restart. Making a backup first is a good idea.
- It won't start installing while documents are being read or a restore is being prepared — try again when that's finished. You can check yourself in Settings → Updates at any time.
Send a problem
- In Settings → Send a problem, describe what happened (which screen, what you chose, what you saw) and, if you want a reply, your email address. Show what will be sent shows exactly what will go; then choose Send this. Mungap shows a reference number.
- With Also send the recent log on, a short record of what Mungap did (codes and numbers — no file names, locations or document contents) goes along.
- When importing, reading or issuing fails, Report this problem under the message brings you here with the short error code.
- If there is no internet connection, what you wrote stays — send it again once you're connected.
Troubleshooting
| Symptom | What to check |
|---|---|
| Documents aren't read | The Inbox screen warns if the text-reading model or the PDF component is missing — reinstall the app. Poor scans may read badly; rescan at a higher resolution. |
| Many documents are marked "Low confidence" | That's expected at first — Mungap isn't sure about their type. Correct the wrong ones in the list's Type column; corrections are applied next time. Ones that are right can be organized as they are. |
| The first screen opened in Korean/English by itself | The first screen follows the system language. Change it from the Language box (or later in Settings). |
| An invoice is classified as a purchase order (or the reverse) | Invoices that quote a PO number can look like purchase orders. Correct its type once in the list's Type column; the correction is used next time. |
| Dates look like 2026-03-04 | Mungap shows dates as year-month-day everywhere. |
| A TIFF or HEIC file was skipped or failed | HEIC isn't supported — export as JPEG. A TIFF that failed names the reason (palette colors, two-dimensional G3, or a damaged file); re-save it as a PDF, G4 TIFF or grayscale/color TIFF. |
| A document says its original file can't be found | The original was moved or deleted, or you restored on another computer. Choose Find the original there, or import the moved file again (see Importing documents). |
| An email imported nothing | The email had no attachments that Mungap can read (PDF, picture, Excel, Word, PowerPoint, Hangul), or only small logos. |
